1. List every entry point
Write down every place a customer can start: phone, website form, Google Business Profile, email, social message, marketplace lead, SMS, referral or walk-in.
2. Name the first owner
For each entry point, name the person or role responsible for noticing it and moving it forward. “The team” is not an owner.
3. Test the notification
Send one harmless test through each path. Confirm it arrives, is visible on mobile where needed, and does not depend on one person checking a hidden inbox.
4. Check the next step
Confirm the response tells the customer what happens next and that the opportunity is recorded somewhere visible until it is closed.
5. Fix one leak
Choose the highest-risk path and make one change today. Examples: shared visibility, call-back ownership, form routing, notification repair or a simple follow-up reminder.
